Operations Manager

Reporting Relationships

Second Level Subordinates: Production Staff

Job Purpose

The position exists to plan, organize and oversee operations and to ensure that production meets health, sanitation, and quality standards set by the company, industry and government.

Main Duties

  • Drives the operational aspects of the business to include sales, logistics/supply chain and warehousing.
  • Coordinates shifts, arranges schedules, and monitors employee performance.
  • Reviews manufacturing processes for efficiency, noting areas for improvement and researching alternative machinery, equipment, or modifications.
  • Ensures that stringent hygiene food safety standards are met.
  • Builds on existing and develops new customers through effective business development activities and client relationship management.
  • Negotiates, in consultation with R&D and Accountant, terms of sale, credit terms, returns, margins and volume.
  • Is responsible as a point of contact for the customer regarding any product/merchandise related issues.
  • Is aware and has sound understanding of competitor analysis and distribution.
  • Makes improvements to current operations to improve efficiency.
  • Participates in designing new systems and processes for the introduction of new products or for the improvement of existing ones.
  • Participates in tendering for new equipment to ensure the highest quality at the best price.
  • Liaises with research and development to ensure the company is part of ground-breaking research.
  • Keeps up to date with current and developing trends in the industry, at a national and international level.
  • Participates in continuing professional development programmes affiliated to his/her professional body and those relevant to the industry.
  • Any other duties as assigned by the Chief Executive Officer.

Key Responsibilities

  • Oversee operations; monitor and report on production.
  • Technical knowledge to oversee technical operations.
  • Administration skills in order to prepare reports.
  • Financial knowledge in order to create and administer budgets and manage inventory.
  • Assume responsibility for the safety and welfare of staff.
  • Supervise subordinates, including setting goals, monitoring and appraising performance and on the job training.

Qualifications and Experience

  • Relevant degree or equivalent industrial training e.g., Journeyman/Skilled Worker Class 1.
  • A minimum of 5 years relevant industry experience.
  • Candidates without a first degree but possess extensive industry experience may be considered.
  • Excellent relationship building skills with customers & suppliers.
  • Strong negotiation skills in building relationships and effectively closing the deal for a win/win outcome.

Accountant

Job Purpose

The position exists to ensure that the company is efficiently and effectively managed by ensuring that all the finance and administrative tasks are professionally executed.

 

Main Duties

Financial
  • Supervises the collection, input and processing of financial and related information to meet both internal and external financial needs.
  • Ensures that effective systems are in place to allow adequate financial monitoring.
  • Draws up and monitors budgets.
  • Establishes, in collaboration with management, effective budgetary, planning, control and reporting procedures to manage the financial resources.
  • Monitors the liquidity of the company and ensures adherence to financial requirements.
  • Analyses and appraises financial and related information.
  • Manages cash flows for the company.
  • Communicates with banks, customers and other stakeholders on financial issues.
  • Processes payments to suppliers.
  • Ensures adherence to policy and legal requirements.
  • Ensures confidentiality and security of financial information.
  • Performs bank reconciliations of all bank accounts and prepares monthly reports for management.
  • Produces financial reports such as year-end accounts and annual reports.
  • Provides financial management advice to management.
  • Ensures that the commitment registers are updated and the availability of funds verified before funds are committed.
  • Produces and maintains the asset register.
  • Processes the payroll.
  • Prepares trial balances for audits and liaising with auditors in compliance with reporting requirements.
  • Continuously reviews, evaluates and develops the internal financial systems in order to maintain the financial integrity of the company.
Audit
  • Liaise closely with auditors to ensure that audit timetables and guidelines are adhered to.
  • Ensure financial statements are prepared for auditors as required.
  • Reviews all company audit reports and highlights areas that need attention to the CEO and follows up implementation of weak areas.
Management
  • Participates in continuing professional development programmes affiliated to his/her professional body and those relevant to the industry.
  • Supervises subordinates, including setting goals, monitoring and appraising performance and on the job training.
  • Carries out any other duties assigned to him/her by the CEO.

Qualifications and Experience

  • Degree or Higher National Diploma in Accountancy, Finance or related area such as Business studies/Business administration and Commerce.
  • Possession of relevant professional qualification, such as CIS, an added advantage.
  • 3 years’ experience in accounting/finance or related work.
